What to Automate First: Choosing Your Best Starting Point

October 3, 20261 min read

Once a business decides to automate, the next question is where to begin. Starting with the wrong process, one that is rare, unclear or constantly changing, leads to a frustrating project. Starting with the right one gives a quick, visible win and a foundation to build on.

Look for repetitive tasks that follow clear rules

The best candidates are tasks your team does the same way again and again: copying data between systems, sending routine confirmations, generating weekly reports, or routing enquiries to the right person. If you can write the steps down as "when this happens, do that," it can usually be automated.

Prioritise by volume and time lost

A task that takes five minutes once a month is not worth automating first. One that takes ten minutes and happens fifty times a week is. Ask your team where they spend the most repetitive hours, and start where the saved time is greatest.

Pick processes where mistakes are costly

Manual data entry and copy-paste work cause errors, such as wrong amounts, missed follow-ups or duplicate records. If a process regularly produces mistakes that cost money or customer trust, automating it improves accuracy as well as speed.

Avoid processes that are still changing

If a process is new, informal or different every time, fix and standardise it first. Automating a messy process mostly just makes the mess happen faster. A stable, well-understood workflow is a much safer first candidate.

Keep the first project small and measurable

Choose something you can measure, such as hours saved per week or errors per month, and keep the scope narrow enough to finish quickly. A small project that clearly works makes it much easier to get buy-in for the next one.

Our approach

We start by mapping how a process works today and where time and errors are actually lost, then recommend the single best place to begin. Sometimes that is a small, simple automation rather than a large system, and we will tell you so.
