Why Your Business Systems Don't Talk to Each Other (and How to Fix It)
Most growing businesses end up with several tools: a CRM, accounting software, a website, an order system and plenty of spreadsheets. Each works on its own, but they rarely share information. The result is staff re-entering the same details in multiple places, and numbers that never quite match.
Why disconnected systems cause problems
Manual re-entry takes time and invites errors, such as a wrong amount, a missed update or a duplicate customer. It also means nobody has one reliable view of a customer or an order, because the information is scattered across tools and may be out of date in some of them.
How systems are usually connected
Many modern tools offer an API, which lets one system send and receive data from another automatically. Some also offer ready-made connectors or can trigger actions when something happens, such as creating an invoice when an order is confirmed. Where a tool has no integration options, a custom bridge or a scheduled data transfer may be needed.
Start with the most painful hand-off
You do not need to connect everything at once. Find the point where data is copied by hand most often, or where errors cost the most, and connect that first. Proving value on one link makes it easier to decide what to connect next.
Decide which system is the source of truth
For each type of information, such as customers, prices or stock, decide which system holds the official version and let the others read from it. Without that decision, changes made in two places can overwrite each other and create new inconsistencies.
Plan for things going wrong
Connections can fail when a tool changes, goes offline or receives bad data. A good integration logs what it does, alerts someone when something fails, and can retry safely. Treat it as something that needs light ongoing attention, not a one-time setup.
Our approach
We start by mapping which tools you use and where information gets re-entered, then recommend the simplest reliable way to connect them, whether that is an existing integration, an automation or a custom connector. We would rather solve your biggest hand-off well than build a complicated web of connections.
