How to Prepare Your Business Information for an AI Chatbot

October 6, 20262 min read

When a business chatbot gives vague or wrong answers, the cause is usually the information behind it, not the technology. A chatbot works from the content and rules it is given. Spending time on that foundation before building is the single best way to get a bot your customers can rely on.

Start with the questions customers really ask

Collect the questions from your inbox, calls, messages and sales conversations. Group them into themes such as pricing, services, delivery, support and policies. This list shows what the chatbot must be able to answer, and it keeps you from writing content nobody needs.

Write clear, accurate answers in plain language

For each common question, write a short answer that you are confident is correct and current. Avoid jargon and internal shorthand. Where an answer depends on the situation, say what it depends on, so the bot does not oversimplify.

Decide what the bot should not answer

Be explicit about topics it should hand over to a person, such as custom quotes, complaints, legal matters or anything involving personal account data. A good chatbot knows its limits and offers a way to reach a human instead of guessing.

Keep one source of truth

If prices, hours or policies are written differently in several places, the chatbot may repeat the outdated one. Keep the official version in one place and make sure the bot's content matches it. Conflicting information is a common cause of wrong answers.

Plan to maintain it

Businesses change. Assign someone to update the chatbot's information when services, prices or policies change, and review real conversations periodically to spot questions it handled badly. A chatbot that is never updated slowly becomes unreliable.

Our approach

We start by helping you gather and organise the information the chatbot will rely on, define clear boundaries for what it should and should not answer, and set up a simple way to review and improve it after launch. If you would like to see how this works in practice, you can try the assistant on this site.
