How to Evaluate an AI Tool Before Adding It to Your Business
It is easy to be impressed by an AI demo. It is harder to know whether the tool will actually help your business once it is dealing with your real data and your real customers. A few practical questions, asked before you commit, separate useful tools from expensive distractions.
Start with the problem, not the tool
Write down the specific task you want help with, such as answering routine customer questions, summarising documents or sorting incoming requests. If you cannot name the problem, you cannot judge whether a tool solves it. Tools chosen because they are popular often end up unused.
Test it on your own examples
Demos use ideal examples. Try the tool on real samples from your business, including messy and unusual ones. Check how often the output is correct, how often it is almost right, and how often it is wrong. The cost of the wrong ones matters as much as the success rate.
Find out what happens to your data
Ask where your data is sent, whether it is stored, and whether it may be used to train the provider's models. This matters most for customer details, contracts and financial information. If the answers are vague, treat that as a warning and avoid putting sensitive data into the tool.
Keep a person in the loop for important decisions
AI is good at drafting, sorting and summarising, and can still make confident mistakes. For anything affecting money, legal matters or customer relationships, have a person review the output. Decide in advance where human checks are required.
Count the full cost
Look beyond the subscription price. Include setup time, staff training, usage-based charges that grow with volume, and the effort of connecting the tool to your existing systems. Compare that total with the time or errors it actually saves.
Run a small pilot first
Try the tool with one team or one process for a few weeks, with a clear measure of success such as time saved or fewer errors. A small pilot shows whether it works in practice and gives you evidence for a wider rollout or for walking away.
Our approach
When we help businesses add AI, we start with the problem and a small pilot, connect the tool to your existing software, and keep sensible human review in place. Sometimes the right answer is a simpler automation instead of AI, and we will tell you if that is the case.
